What to Confirm Before Your Visit

These steps must be completed before your appointment. Vendors who arrive without confirmed approvals, complete documentation, or completed onboarding will not be admitted.

Confirm Your Appointment and Sponsoring Contact

All vendor and contractor visits are appointment-based. Walk-in access is not permitted. Before arriving, confirm your scheduled appointment, your sponsoring host or campus contact, and your approved work scope. Visits without a confirmed appointment will not be processed.

Complete Required Onboarding

Contractor onboarding — including site-rules acknowledgment and any required induction steps — must be complete before work-area access is granted. Do not arrive expecting to complete onboarding on the day of your first visit. Confirm eligibility with your sponsoring contact in advance.

Prepare for ID Verification and Background Screening

Vendors and contractors are subject to ID verification and background screening as a condition of access. Ensure government-issued photo ID is available for every individual in your party. Required documentation should be submitted through the sponsoring contact before your appointment is confirmed.

What Happens When You Arrive

All vendor personnel begin at the Visitor Control Center. No one proceeds to a work area without completing check-in.

Report to the Visitor Control Center

All vendor and contractor personnel must check in at the Visitor Control Center before entering any active or controlled area. Do not proceed directly to the work location. Every individual in the party must be individually logged at check-in.

Receive Your Credential

Following check-in, each individual will be issued a credential tied to the approved visit purpose and duration. Credentials must be visibly worn throughout the visit. Access is limited to the zones and time windows covered by the approved work scope.

Proceed With Your Escort

Vendor and contractor access to active or protected areas is escorted. A campus or tenant representative will meet you at the Visitor Control Center. First-time access to protected or operational areas may require additional supervision. Do not proceed ahead of your escort.

Access and Work Area Controls

How Access Is Managed During Your Visit

Access controls remain in effect throughout the duration of a vendor visit. These are not procedural formalities — they apply in full.

Access is limited to approved zones and the time windows defined by your work scope.

Protected areas, high-voltage environments, and active operational spaces may require specific authorization or escorting.

After-hours and weekend access is subject to explicit advance approval — it is not automatically included in a standard appointment.

If your approved work scope changes on site, work must stop until revised access is confirmed through the campus operations team.

Current eligibility and onboarding compliance are verified before each access period. Lapsed documentation suspends access.

Site Rules

Campus Rules for Vendor Personnel

These rules apply to all vendor, contractor, and service personnel throughout the duration of their visit. The sponsoring contact is responsible for communicating these requirements to all members of the vendor party.

  • No appointment, no access. Walk-ins will not be processed under any circumstances.
  • Government-issued photo ID is required for every individual in the vendor party at check-in.
  • Credentials must be visibly worn throughout the visit.
  • Unescorted movement in controlled areas is not permitted.
  • PPE must be worn in all designated hazard areas. Minimum: hard hat, high-vis vest, safety footwear.
  • All subcontractors and laborers brought on site fall under the responsibility of the named vendor.
  • Any injury, incident, or near-miss must be reported to your escort and the operations team immediately.
  • Photography and recording require prior written authorization from campus management.
  • All materials, waste, and equipment must be removed upon job completion.
  • Campus speed limits and traffic control requirements apply at all times.

Do I need an appointment?

Yes. All vendor and contractor visits are by appointment only. Contact your sponsoring campus or tenant representative to arrange the visit. Walk-in access is not available.

What screening is required?

Vendors and contractors are subject to ID verification and background screening. The scope and timing of screening will be communicated through your sponsoring contact when the appointment is arranged.

Can I arrive before onboarding is complete?

No. Onboarding, site-rules acknowledgment, and any required induction must be complete before work-area access is granted. Incomplete onboarding is grounds for denying entry on the day.

Are escorts required?

Yes, for active and protected areas. First-time access to higher-protection spaces may require escorting regardless of prior experience on other campuses. Your sponsoring contact will confirm escort requirements.

What happens if my work scope changes while I am on site?

Any change in work scope that affects which areas you need to access requires a revised approval. Work in the newly required area must wait until the campus operations team confirms the updated access.

Universal Vendor Agreement Framework

All vendors and contractors performing work at Energy Compute Campus are required to execute and abide by the Universal Vendor Agreement Framework — a standardized commercial structure covering the Vendor Agreement and Vendor Order Form. This framework establishes consistent expectations for scope, insurance, indemnification, compliance obligations, and site conduct requirements applicable to all vendor engagements.

Vendor onboarding cannot be completed and site access will not be granted until a fully executed Vendor Agreement is on file. Review the sample documents below before beginning the onboarding process.
